Conference Exhibitors

In-Person Dates and Times: Exhibit areas will be open on Wednesday, May 29 to Friday, May 31 from 7:00 am to 4:00 pm.

Provided with In-Person Exhibitor Registration:

  • Exhibit Table: One 6x2-foot skirted table per registration. 
  • Personnel: Registration includes two company representatives. Additional booth staff must register to attend the conference. 
  • Electricity: There is no additional cost for electricity, however exhibitors must provide their own power strip and extension cord. We recommend a 10-foot long cord at minimum.
  • Wifi: Exhibitors will have access to the hotel wifi. If you plan to present a video or PowerPoint, we strongly suggest you download the content in advance to avoid technical difficulties.
  • Box lunch: Registration includes 2 company representatives (and 2 box lunches) / exhibitor table. Additional booth staff must register to attend the conference.
  • Promotion: Your company logo will be posted on the Whova Conference App, and social media and included in publicity before and during the conference.

In-Person Exhibitor Setup

  • Table Setup: Exhibitors may begin to set up after 7:00 pm on Tuesday, May 28. Pending hotel availability, set-up may also happen earlier on Tuesday, May 28. Please check back for updated information.
  • Table Location: Please note your table location on the Exhibitor Floorplans * Coming Soon!
  • Boxes/Advanced Shipping: The hotel can accept a limited number of boxes from vendors. Boxes must arrive no more than three days before the event. Please mark the boxes clearly with your name (the on-site representative) and “MATSOL Conference.”  Contact the hotel directly with additional questions about box shipments. Send to:

  • Clean-up: The exhibitor rooms must be cleared by 6:00 pm on Friday, May 31. You may leave any trash behind your exhibit table for disposal by the hotel.

In-Person & Virtual Exhibitors: Conference App Set-Up

All registered exhibitors have a virtual booth in the Whova Conference App.

Dates and Times: Virtual exhibits will be available to in-person and virtual attendees from May 15 when the Whova Conference App goes live until the Whova site is closed.

  • When to Set Up: MATSOL will email exhibitors an invitation to begin to set up their booths by May 1. The 2024 MATSOL Virtual Conference is scheduled to go live on Whova two weeks in advance of the event, approximately May 15, 2024.
  • How to Set Up: Refer to the Whova Exhibitor Guide for instructions on Building Your Booth and Interacting with Attendees via the online platform.

Tips for Interacting with Attendees

Note: Due to MATSOL’s privacy policy, we cannot share attendee email addresses with exhibitors. Please use the following tips to collect leads at the conference.

  • In-Person: All attendees will have a conference badge featuring a QR code. If an attendee is using the mobile app, they may also bring up their QR Code on their mobile device. Simply scan an attendee’s QR code to collect their information. View Whova’s LeadGen Tutorial to learn more.* Bonus Tip: Healthy snacks make a great give-away for our conference attendees!
  • Virtual: Review the Whova Exhibitor Guide to familiarize yourself with strategies to increase booth traffic and generate leads, such as Promotional Offers and Live Streams.
